DEVEKKO / AI PILOT WORKSHEET Version 1.0 — October 24, 2026 https://devekko.sovsrc.ai/services/ai-data Use this worksheet to define one AI task before scoping a pilot. Replace the bracketed prompts. Keep confidential records, credentials, and personal customer data out of a brief shared through a public form. This is a planning template, not a price estimate or a performance promise. 1. THE TASK Who needs help? [Role or user group] What do they need to do? [One repeatable task] How is it done today? [Current workflow and system] What is difficult? [A specific delay, error, or manual step] What should stay out of this pilot? [Explicit boundaries] 2. APPROVED INFORMATION Which sources can the pilot use? [Documents, catalog, database, API] Who owns each source? [Responsible role] How often does it change? [Update rule] Who may see which information? [Access boundaries] What should happen when information is missing or outdated? [Fallback] 3. EXAMPLES TO EVALUATE Choose representative examples with known, reviewed answers or outcomes. Include an ordinary request, an ambiguous request, missing information, a request outside the permitted scope, and an unavailable dependency. Example: [Input description, using synthetic or approved material] Expected result: [What a reviewer would accept] Required source or rule: [Evidence behind the answer] Failure response: [Ask a question, route to a person, or stop] Repeat this block for each example. 4. THE REVIEW STEP Who checks the result? [Responsible role] Which actions always need approval? [Write, send, charge, delete, etc.] How can a user correct or reject an answer? [Review path] Where does the approved result go? [Destination system] 5. SUCCESS CRITERIA Agree targets before running the evaluation; do not choose them after results. Quality: [Accepted results out of a stated sample; scoring rule] Review effort: [Time or actions, with the current-process baseline] Response time: [Target and measurement method] Operating cost: [Workload assumption and spending limit] Permission checks: [Required access cases that must pass] Do not average away a failed permission or unsafe action. 6. PILOT DECISION Proceed if: [Evidence required to expand] Revise if: [Fixable gaps] Stop if: [Unacceptable errors or cost] Who decides? [Owner and review date] 7. PRODUCTION QUESTIONS [ ] Source updates and ownership are defined. [ ] Access rules and failure paths have been tested. [ ] Model and infrastructure usage can be observed. [ ] Logging, retention, and deletion responsibilities are agreed. [ ] A person owns ongoing evaluation and maintenance. ILLUSTRATIVE EXAMPLE — NOT A CLIENT RESULT Task: help a support teammate find an answer in an approved product guide. Pilot boundary: return the relevant source passage and a suggested answer; do not send messages to customers automatically. Missing answer: say the guide does not establish an answer and route the question to a person. Success targets must be agreed for the actual task. NEXT STEP Bring the task, approved source list, and unresolved questions to a project conversation: https://devekko.sovsrc.ai/contact?service=ai-data You can also email hello@devekko.dev. Sending is optional; this worksheet can be used independently of a Devekko engagement.
